We are currently looking for a highly organized and proactive Administrative Assistant to join our Administration team.
The Administrative Assistant will play a key role in ensuring the smooth day-to-day operation of our offices by managing administrative resources, coordinating accommodation and transportation, supporting foreign employees with administrative procedures, and maintaining an efficient and well-organized working environment.
This position offers the opportunity to work in a fast-growing international environment, collaborating with Moroccan and international teams and supporting the development of TINCI Morocco's operations.
Position Overview
The Administrative Assistant will provide comprehensive administrative and logistical support to the organization and will be responsible for:
• Managing office supplies, administrative purchases, and inventory
• Coordinating airport transfers and employee/visitor transportation
• Supporting residence permit procedures for foreign employees
• Managing hotel reservations and relationships with partner hotels
• Monitoring office cleanliness, hygiene, and general working conditions
• Managing contracts, official documents, and administrative archives
• Coordinating meeting rooms and welcoming visitors
• Supporting various administrative activities according to business needs
• Ensuring strict confidentiality of company and employee information Main Responsibilities 1. Office Supplies & Administrative Resources Manage the procurement, reception, distribution, and inventory tracking of office supplies and administrative materials. Establish and follow appropriate procedures for supply management to ensure the availability of necessary resources, proper stock control, and full traceability of administrative materials. 2. Airport Transfers & Welcome Kits Organize and coordinate airport transfers for employees, visitors, and international guests. Prepare and manage welcome and installation kits for new employees and newly arrived international staff in Morocco, ensuring that all necessary items and information are available upon arrival. 3. Residence Permit & Administrative Procedures for Foreign Employees Support foreign employees residing in Morocco with their residence permit procedures. Collect and prepare the required documents, coordinate submissions and follow-ups with external service providers and relevant authorities, and regularly communicate the status of ongoing procedures. 4. Hotel Management & Accommodation Coordination Manage hotel reservations with partner hotels according to business and employee requirements. Coordinate accommodation arrangements for employees, visitors, and international staff. Review hotel invoices, statements, and account records to ensure accuracy, compliance, and proper documentation. 5. Office Hygiene & Working Environment Monitor the cleanliness, hygiene, and general condition of the office premises. Coordinate cleaning services and other necessary interventions to maintain a clean, safe, comfortable, and professional working environment. 6. Administrative Purchasing Handle day-to-day purchases of office supplies, consumables, essential items, and other administrative materials. Request quotations, coordinate supplier selection, follow up on orders and deliveries, and ensure that all purchasing-related documents and expenses are properly recorded and maintained. 7. Document Management & Archiving Manage the filing, registration, archiving, and secure storage of company contracts, agreements, official documents, and other documents bearing the company stamp. Implement standardized document management practices to ensure document integrity, traceability, confidentiality, and easy access when required. Maintain records of document movements, including document submissions, withdrawals, consultations, and returns. 8. Meeting Rooms & Visitor Reception Manage meeting rooms and ensure that they are properly prepared before meetings and business events. Welcome, guide, and assist clients, partners, visitors, and other guests. Provide the necessary logistical and administrative support for meetings, visits, and reception activities. 9. Confidentiality & Information Security Strictly comply with company policies and procedures regarding confidentiality. Ensure the proper protection of contracts, administrative documents, employee information, and other confidential company information. Prevent unauthorized disclosure, access, or use of sensitive information. 10. General Administrative Support Provide administrative support to different departments according to business needs. Perform other administrative duties and assignments as requested by management to support the smooth operation and development of the company. Profile Requirements Education & Background (Bac+2) in:
• Business Administration
• Commerce
• or another relevant field Experience
• Fresh graduates with strong potential and a proactive mindset are welcome to apply
• 2–3 years of experience in administration, HR, office management, or general administrative functions is an advantage
• Previous experience in a Moroccan company, particularly in administration, HR, or dealing with public administrations, is preferred
• Experience working in an international company, particularly a Chinese company operating in Morocco, is a strong advantage Technical Skills
• Good command of Microsoft Office, particularly Word and Excel
• Strong organizational and document management skills
• Ability to manage administrative records and archives systematically
• Familiarity with administrative procedures and public administration processes in Morocco is an advantage
• Good understanding of purchasing, supplier coordination, and invoice follow-up

• Experience supporting foreign employees or expatriates in Morocco

• Experience working with Chinese companies or Chinese colleagues in Morocco is an advantage
• Knowledge of Moroccan administrative and residence procedures is a plus
