Casablanca, Gauthier Type: Full-time, on-site About Stairway Stairway helps Moroccan students access universities around the world with scholarships and financial aid, through personalized guidance, test preparation, academic support, and university application support. We are looking for a University Applications Manager to guide students throughout their international university application process and make sure every application is completed accurately, strategically, and on time. The role will initially have a stronger focus on U.
S. university applications during the upcoming admissions cycle, before progressively shifting toward European and other international destinations. Role Overview You will be responsible for managing a portfolio of students and coordinating their university applications from onboarding through submission and post-application follow-up. Your role is to make sure students understand what they need to do, complete their tasks on time, gather the correct documents, submit complete and well-prepared applications, and properly handle any additional requirements after submission. This position requires someone who is highly organized, detail-oriented, proactive, comfortable managing multiple deadlines at once, and genuinely interested in international education. Main Responsibilities University Research & Application Planning Research universities, programs, admission requirements, scholarships, financial aid opportunities, and application deadlines. Help maintain and update university lists based on students' academic profiles, goals, budgets, and scholarship needs. Meet with students to discuss and refine their university lists. Stay informed about changes in admission requirements and application procedures across different countries and university systems. Maintain and improve Stairway's internal university databases, guides, forms, and application resources. Application Management Manage students' university application processes from onboarding through final submission. Support students in completing application platforms such as the Common Application and other university portals. Assist students with financial aid applications, including the CSS Profile and university-specific financial aid requirements. Help students complete important application sections such as activities, honors, educational history, additional information, and other required fields. Make sure application information is accurate and consistent across all documents and platforms. Conduct final application reviews before submission to identify missing information, inconsistencies, or potential issues. Documents & Application Requirements Help students identify and gather all documents required for their applications. Follow up regarding transcripts, certificates, translations, recommendation letters, financial documents, and other supporting materials. Make sure documents are requested, translated, uploaded, or submitted within the required timelines. Support students with school-related application requirements when their school is unable to provide the necessary assistance. Ensure required school documents and supporting materials are completed correctly and submitted on time. Student Follow-Up & Coordination Conduct onboarding meetings with new application students. Hold regular meetings and follow-ups with students throughout the application process. Assign clear tasks and deadlines and make sure students complete them on time. Remind students about missing documents, upcoming deadlines, application tasks, and required next steps. Keep accurate internal records of each student's progress. Communicate important updates and next steps clearly to students and, when necessary, their parents. Coordinate with other members of the Stairway team when students require additional support. Essays & Written Materials Make sure students complete all required personal statements and supplemental essays before application deadlines. Follow up on essay progress and make sure revisions are completed on time. Help students improve their essays when needed by providing feedback on content, structure, clarity, and written English. Review written application materials for consistency, completeness, and overall quality. Arrange additional essay support when more extensive editing is needed. Post-Application Follow-Up Track requirements that appear after applications are submitted. Help students complete additional financial aid forms, university portals, document requests, and other post-application requirements. Follow up on missing materials and application status updates. Make sure students continue completing required steps until their applications are fully processed. What We're Looking For Excellent English and French, both written and spoken. Strong organizational skills and exceptional attention to detail. Strong research and problem-solving abilities. Strong written communication skills. Ability to manage multiple students, deadlines, tasks, and priorities simultaneously. Proactive and comfortable taking ownership of responsibilities. Comfortable communicating regularly with students and following up when tasks are not completed. Able to learn new university systems, application platforms, and requirements quickly. Genuine interest in education, international universities, and helping students succeed. A university degree taught entirely in English is highly preferred. Previous professional experience in university admissions is a strong plus, but not required. We are also particularly interested in candidates who have personally gone through the international university application process or have experience supporting others through it. Relevant experience may include: Personally applying to universities abroad, especially in the United States. Experience with platforms such as the Common Application or CSS Profile. Helping students with university applications, tutoring, mentoring, or academic guidance. Studying abroad or having strong exposure to international education. You do not need to already know every university application system. What matters most is your ability to learn quickly, research accurately, remain extremely organized, and take responsibility for making sure your students' applications progress correctly. Work Schedule Full-time, on-site in Casablanca. Thursday to Monday: 12 PM to 9 PM Days off: Tuesday and Wednesday Because many student meetings and follow-ups take place outside regular school hours, availability during evenings and weekends is required.
