Position Summary
The Technology Operations and Automation Specialist supports the Federation's Microsoft 365, SharePoint, cloud applications, user accounts, workflows, and approved client technology projects. The position requires a strong technical foundation, disciplined problem-solving, excellent research skills, and the ability to learn new systems through official documentation, AI-assisted research, testing, and established procedures.
The specialist will complete routine administration independently, investigate unfamiliar problems, execute approved technical instructions, document all material changes, and escalate actions involving elevated security, sensitive data, major migrations, or irreversible consequences. The role is best suited for a resourceful technology generalist who enjoys learning and can turn incomplete information into a safe, documented course of action.
Responsibilities
1. Microsoft 365 and Identity Administration
- Create and maintain users, groups, licenses, and service configurations.
- Manage Microsoft Entra ID identities, authentication methods, and MFA.
- Configure and maintain user mailboxes, shared mailboxes, distribution groups, Teams, and aliases.
- Support onboarding, position changes, and offboarding through documented procedures.
- Assist users with Outlook, Teams, OneDrive, and Microsoft application access.
- Review and resolve duplicate, obsolete, or improperly permissioned accounts.
- Implement least-privilege and just-in-time access practices. 2. Exchange Online and Email Operations
- Investigate email delivery failures using message trace, NDRs, Exchange logs, and service-health data.
- Configure and maintain SPF, DKIM, and DMARC in coordination with authorized DNS administrators.
- Troubleshoot mail routing across multiple accepted domains and external systems.
- Manage approved forwarding, aliases, connectors, retention configurations, and delegation.
- Document root cause, corrective action, and validation results following significant incidents. 3. SharePoint Online and OneDrive
- Administer SharePoint sites, libraries, lists, permissions, and content structures.
- Provision new sites using approved naming, security, and governance standards.
- Migrate content from Google Drive, personal OneDrive, local storage, and legacy repositories into approved SharePoint locations — preserving source data until migration is fully validated.
- Support records management, document control, and authoritative-source requirements.
- Maintain current SharePoint site inventories, owner registers, and access records. 4. Power Automate and Workflow Automation
- Build, test, deploy, and maintain Power Automate flows for document intake, approvals, notifications, onboarding, and operational synchronization.
- Monitor flow health, failed runs, expired connections, and authentication failures.
- Ensure critical flows have at least two authorized owners, documented service accounts, backups, error handling, and recovery instructions.
- Maintain appropriate separation between development, testing, and production environments. 5. n8n, APIs, and Business-System Integrations
- Build, configure, monitor, and troubleshoot n8n workflows.
- Maintain integrations involving Microsoft 365, SharePoint, Monday.com, HubSpot, QuickBooks, GitHub, Zapier, and approved CRM systems.
- Troubleshoot token expiration, connection failures, schema changes, rate limits, and data-mapping errors.
- Maintain an integration inventory identifying purpose, owner, systems connected, credentials used, data classification, failure notification, and recovery procedure. 6. Azure and Cloud Operations
- Deploy and maintain approved Azure resources following documented architecture and within authorized scope.
- Migrate approved locally hosted services into cloud infrastructure to reduce dependence on individual workstations.
- Review resource utilization and recommend cost-effective configurations. 7. PowerShell, Microsoft Graph, and DevOps
- Execute approved PowerShell scripts for Microsoft 365, Exchange, Entra ID, SharePoint, and Power Platform administration.
- Maintain scripts and documentation in approved GitHub repositories using Git branching, commits, and versioning.
- Employ preflight checks, dry-run modes, logging, verification, and rollback protections before executing any production change.
- Never embed active credentials, secrets, tokens, or private client data in source code, chat conversations, or public repositories. 8. Migrations and Client Technology Delivery
- Support approved Google Workspace-to-Microsoft 365 migrations — building inventories, provisioning accounts, validating results, and coordinating cutover.
- Create clear end-user instructions written for users with limited technical knowledge.
- Support approved client environments without using one client's credentials, data, or configuration in another environment.
- Document migration decisions, exceptions, failures, reconciliation results, and final acceptance. 9. Security, Compliance, and Continuity
- Apply least-privilege, minimum-necessary, and separation-of-duties principles throughout all work.
- Support technical implementation and evidence collection for applicable HIPAA, CUI, NIST, DFARS, CMMC, and SOC 2 requirements.
- Store secrets in approved password-management or key-management systems. Rotate credentials after exposure, employee separation, or required security intervals.
- Immediately report suspected unauthorized access, credential exposure, data loss, or security-control failure. 10. Incident Management and Technical Support
- Serve as the primary Level 2/3 escalation point for Microsoft 365, SharePoint, automation, and integration issues.
- Triage, contain, and document incidents.
- Identify recurring problems and replace repeated manual fixes with documented standard procedures or approved automation. 11. Documentation and Governance
- Create and maintain SOPs, system inventories, architecture diagrams, administration guides, migration runbooks, troubleshooting guides, access matrices, and change records.
- Record material work in the Federation's designated operational system and deposit authoritative documentation in approved SharePoint locations.
- Prepare a monthly technology-operations report covering incidents, security, access, automation, projects, risks, and upcoming decisions.
- Design systems so that another authorized administrator can operate them without relying on undocumented personal knowledge. Required Qualifications 1. requirements:
- Two or more years in IT support, Microsoft 365 administration, SharePoint administration, systems support, or a closely related role.
- Practical experience supporting Microsoft 365 users including user creation, licensing, group management, and SharePoint permissions.
- Familiarity with SharePoint Online and OneDrive, including sites, libraries, lists, permissions, and document control.
- Strong internet research and technical-documentation skills comfort navigating Microsoft Docs, vendor knowledge bases, and AI-assisted troubleshooting.
- Ability to use AI tools responsibly: sanitizing sensitive data before sharing, verifying suggestions against official documentation, and never running unreviewed scripts in production.
- Ability to follow detailed instructions and return complete, documented outputs.
- Ability to read error messages, logs, and system notifications.
