Executive Assistant:
Job Purpose
To provide high-level administrative and secretarial support to the GM, ensuring efficient and effective operations of the executive office.
The Executive Assistant serves as the primary point of contact and liaison for internal and external stakeholders on all matters related to the executive's responsibilities.
Duties and Responsibilities
Administrative Support
• Manage and maintain the General Manager's schedule, including appointments, meetings, and travel arrangements.
• Prepare correspondence, reports, and presentations on behalf of the GM with high levels of accuracy and professionalism.
Office Coordination
• Ensure smooth day-to-day operations of the GM's office, maintaining organized filing systems (physical and digital).
• Liaise between the GM and internal departments, facilitating effective communication and follow-ups.
Meeting and Communication Management
• Schedule, coordinate, and document executive meetings, taking minutes and tracking action items for completion.
• Serve as the primary point of contact between the GM and external stakeholders when required.
Confidentiality and Discretion
• Handle confidential information with a high level of integrity and discretion.
• Support the GM in sensitive personnel and business matters.
Project and Task Coordination
• Assist the GM in tracking ongoing projects, preparing status reports and reminders for deadlines or required actions.
• Conduct basic research, collect data, and compile summaries for decision-making purposes.
Travel and Event Management
• Organize local and international travel logistics for the GM, including visa processing, bookings, and itineraries.
• Coordinate company or client visits, hospitality arrangements, and corporate events as needed
Qualifications
• Bachelor's degree in business administration, Management, or relevant field. – MBA is an advantage
• Minimum 5 years of experience in a similar executive assistant or senior-level support role.
• Trilingual proficiency (Arabic, English & French). Spanish is an advantage.
Knowledge, Skills and Abilities
• Excellent organizational and time management skills.
• Strong verbal and written communication abilities.
• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
• High level of confidentiality, integrity, and professionalism.
• Ability to multitask and work under pressure with minimal supervision.
• Strong interpersonal skills and customer service orientation.
Working Conditions
• Office-based position with occasional need for travel or extended hours based on executive requirements.
• May involve working closely with VIPs and high-profile individuals.
Physical Requirements
• Prolonged periods of sitting and computer use.
